QuickBooks Online vs Xero: Which Fits a Small Canadian Business?

By Salty Sea Bookkeeping, Port Alberni ·

For most small Canadian businesses, QuickBooks Online and Xero will both do the job well. The biggest practical difference today is payroll: QuickBooks offers its own Canadian payroll, while Xero runs Canadian payroll through a connected app. Beyond that, the right choice usually comes down to who else touches your books and which one you find easier to use every week.

We keep books in both, so we have no reason to push you toward one. This guide walks through the jobs you actually do each month and how each product handles them, based on what Intuit and Xero say on their Canadian websites as of October 2026.

Why the comparison matters less than you think

It is easy to spend weeks reading feature charts. In practice, both products cover the core of small-business bookkeeping: connecting your bank, sending invoices, tracking expenses, handling sales tax and producing reports.

What makes the real difference is:

  • whether you have employees, and how you want to pay them
  • whether your accountant already works in one of them
  • which apps you already use (your point-of-sale, online store, or payment processor)
  • which screen you can stand to look at every week

Keep those four in mind as you read the sections below.

Bank feeds

Both products connect to your bank and credit card accounts and pull transactions in automatically, which is the single biggest time-saver in modern bookkeeping.

QuickBooks Online says you can connect your bank accounts directly so transactions sync automatically. Xero says its bank feed imports your transactions each business day, and names direct feeds with BMO and CIBC.

A bank feed is only as good as the person reviewing it, though. Transactions still need to be categorized and matched, and the account still needs to be reconciled to the statement each month. A connected feed that nobody reconciles is one of the most common reasons books end up months behind. If that has already happened, our guide on how to catch up on bookkeeping covers the way back.

Before you choose, check that your specific bank and credit cards connect cleanly to the product you are considering. Smaller credit unions and some business card issuers can behave differently from the big banks.

GST/HST and provincial sales tax

Both products calculate sales tax on your invoices and bills and produce a report you use to file your return.

For a BC business that charges both GST and PST, both handle the two taxes side by side. Neither vendor’s page we checked claims the software files your return with the CRA on its own, so plan on someone reviewing the report and filing it. The software does the arithmetic; it does not know whether you coded a purchase correctly in the first place, and that is where most sales tax errors start.

If you are not sure whether you should be registered or how often you file, see our guide to GST/HST registration and filing, or have us handle it through GST/HST filing.

Payroll in Canada

This is the clearest difference between the two.

QuickBooks Online

Intuit sells QuickBooks Payroll as its own Canadian product. It can be added to a QuickBooks Online subscription or used on its own. Intuit says it calculates CPP, EI and income tax deductions, tracks and files remittances, generates T4 slips and the T4 Summary, generates ROEs with electronic submission to Service Canada, and pays employees by direct deposit. Pay runs and accounting live in one place.

Xero

Xero’s own Canadian payroll page says plainly that in Canada, payroll runs in a connected app and the results land in Xero. It names Wagepoint as the app it works most closely with, along with Payment Evolution and Payworks, and points to its app store for others.

That is not necessarily a weakness. A dedicated payroll app can be very good at payroll, and the pay run posts back into Xero. It does mean two subscriptions and one more connection to check when something does not match.

What this means for you

  • No employees, or only paying yourself through dividends: payroll does not decide this for you.
  • A few employees and you want one system: QuickBooks Payroll keeps it under one roof.
  • Already happy with a payroll provider: check that it connects to the accounting product you are considering. Xero names its partners; for QuickBooks, ask your provider.

Vendor offerings change, so check current availability on the vendor’s own page before you sign up. Whichever route you take, we can run it as part of our payroll services.

Invoicing and getting paid

Both products let you create, send and track invoices, record payments, and see who owes you money.

Xero also promotes accepting online payments against invoices; check what each product offers for card and bank payments in Canada today. Xero’s Canadian site says you can create, send and track invoices from the desktop or its mobile app.

Where they differ is mostly look and feel: how invoice templates are customized, how reminders are set up, and how easy it is to see an aging list of unpaid invoices. If invoicing is a big part of your week, try sending a few test invoices in each before you commit.

Receipt capture

Both have a way to photograph a receipt on your phone and attach it to a transaction.

Plan contents change, so confirm on the vendor’s pricing page that receipt capture is in the plan you are comparing. Many bookkeepers, including us, also use a separate capture tool. We use AutoEntry, which works with both products, so your choice of accounting software does not have to hinge on this.

Keeping receipts is not just a convenience; the CRA has rules about what you keep and for how long. Our guide to CRA receipts and record keeping covers what a scanned receipt needs to show.

Accountant and bookkeeper access

Both products let you give your accountant or bookkeeper their own login, so nobody shares your password.

This is where the choice often gets made for you. Your accountant will log in at year-end to prepare your financial statements and tax return. If they already work in one product all day, using the same one tends to make that hand-off smoother. Ask them before you decide. If you are not sure who does what, our guide on bookkeeper vs accountant explains the split.

How to choose

There is no winner here, only a better fit for your business. Work through these in order and you will usually have your answer by the third question.

  1. Do you have, or plan to have, employees? If you want payroll inside your accounting software, QuickBooks Online has it natively. If you are happy with a separate payroll app, both work.
  2. What does your accountant use? If they have a strong preference, that counts for a lot.
  3. What else needs to connect? List your point-of-sale, online store, payment processor and any industry software, then check each one connects to the product you are leaning toward.
  4. Which one do you find easier? Both offer trials. Connect your real bank account, categorize a week of transactions, and send one invoice. You will know quickly which screen you prefer.
  5. Are you already in one? If your books are set up and reconciled in QuickBooks Online or Xero, switching rarely pays for itself unless something specific is missing. Clean books in either beat messy books in the “right” one.

If you have already made your choice, we work in both. See bookkeeping for QuickBooks Online users or Xero bookkeeping for how we set up and keep each one, and virtual bookkeeping across Canada if you are outside the Alberni Valley. Either way, the software is the easy part; keeping it reconciled every month is what makes it useful.

Questions people ask

Can I switch from QuickBooks Online to Xero, or the other way, later?

Yes, businesses do move between them, but it is a project rather than a button. Open balances, history and bank rules all need checking after the move, so it is easiest at a year-end or quarter-end when the books are reconciled.

Do you work in both QuickBooks Online and Xero?

Yes. We keep books in QuickBooks Online and Xero, as well as Sage, and we use AutoEntry for receipt and bill capture. We would rather work in the software that suits your business than move you to ours.

Does it matter which software my accountant uses?

It helps if your accountant is comfortable in it, because they will need to log in at year-end. Both products let you give an accountant their own access, so ask yours which they prefer before you decide.

Which one is cheaper?

Both sell several plans in Canada, and prices and plan contents change often, so compare them on the vendors' own pricing pages on the day you sign up. Make sure the plan you compare includes the features you need, such as payroll or receipt capture, rather than comparing the cheapest tier of each.
